Why Quality Customer Service is Key in Property Management

posted February 05, 2018, by Joe Marano

With a property management company working with you, it's important to consider the fact that they serve as the first impression to potential tenants. Additionally, they also help to deal with all sorts of issues, questions, and concerns raised by tenants once they've moved in – most of the time, the tenant will go to them when something needs to be taken care of. As a result, it's important to find a property management company that focuses on quality customer service, and here are some key examples why.

First Impressions Can Become Last Impressions

Studies indicate that more than two-thirds of consumers tend to move on to a competitor following poor customer service, and a great many of them would in fact be willing to pay more for a better experience. If a property management company makes a poor first impression on a potential tenant, it can very well be the last impression they will be able to make on them, as the tenant could move on – or out! This is an outcome you want to avoid not only to keep units filled but also to keep tenants happy and protect against the spread of negative reception from person to person. In today's always-online and review-driven society, it can be all too easy for a rental property's reputation to suffer from even a single negative review if it is spread across social media and other major public online outlets. Be sure to hire a property management company that genuinely respects your future, past, and current tenants in every aspect to avoid these problems.

Problem-Solving Efficiency

If your property management company isn't doing everything they can to address complaints, it can reduce the overall image of your property and units as ideal places to live. Working with a company that holds quality customer service in high regards will make problem-solving more efficient and streamlined, making your tenants far happier and more likely to stay for the long-term. For example, if a request for maintenance or repairs is analyzed, approved, and carried out relatively soon after it has been sent out, that tenant will be happier than one who needs to wait for weeks or months.

Show That You Are Listening

When a property management company works closely with a tenant or individual to address an issue, recognize the importance of solving it quickly, and implementing the ideal solution, it shows that their needs are respected. In turn, this demonstrates to your unit renters of past, present, and future that you are indeed listening to them, as generally it will be perceived that the property management company's ability or inability to solve every problem requires getting the landlord deeply involved. However, this may not always be necessary for smaller requests, and if the company doesn't respond or address the situation properly, it reflects poorly on you and the development itself regardless. Tenants need to feel that they are being listened to, and it's important to respect that they don't quite see the relationship between a landlord and property management company the same way as you do.
